What is Inventory Report?

Inventory is a detailed document listing rental property contents and their state. Inventories are carried out for all kinds of properties, whether furnished or unfurnished. Why is Inventory Report Important?

Both the landlord and the tenant need the inventory report to be used as the benchmark that clearly describes contents and state of the property inventory for future reference. Duly performed inventory reports covers all changes of the property condition from the check-in until check-out inventory and in case of any disputes between the landlord and the tenant regarding the damage, wear and tear or missing items, will help them resolve the issue or can be used as the evidence in court.

Making an Appointment for Inventory

Landlord or the agent usually orders the inventory services when the tenancy starts ,  after that, inventory clerk contacts the tenant to make an appointment and schedule the date and time of checking in. We can conduct the inventory report with the tenant present or absent at the time of the property inspection. 

Inventory Inspection Process

Inventory is thoroughly carried out by inventory clerk, who uses the best efforts and eye for details to make an adequate description of the property contents and their state. The parameters covered by inventory inspection are assessment of the property according to cleaning standard, inspection of its floors, windows, fixtures and fittings, furniture items, curtains, sanitary ware, kitchen appliances, electrics, linens and other units. Inventory report with such level of detail helps avoid any future disagreement between the all parties of the tenancy agreement and can be used as the benchmark to rely on.

Inspection is used as the basis of inventory report that, in addition to the description of all property contents, includes at least 12 high-quality photos of every property area. Photographs and notes made by inventory clerk acting as an independent part are used as the evidence of the “as seen” state of the property and help make unbiased conclusions of inventory state.

The last page contains the signature section and the declaration of the tenants that they agree with the report contents. If the tenant fails to return any comments to the inventory report during seven days, inventory is considered to be an accurate representation of the property condition. This approach to inventory inspection management helps avoid unnecessary delays.

Inventory Report Privacy Policy

Our company pays special attention to adhere to our privacy policy excluding any visual personal identifiable data in the notes or photos made. Besides, we never provide the completed inventory report to any third party without the instruction or permission of the landlord or agent that has ordered the services. This helps our clients comply with legal requirements to personal data protection.

Inventory Report Deadline

A customer will receive completed inventory report with notes and photos within 48 hours after the date and time of the inventory inspection.

The signed Inventory Report identical to the one received by the client is stored at our business online platform the clients can use to freely access the report any time. Our customers can look through or download inventory report as a PDF file, if and when needed.

Discovering Property Damage during Inventory

If any significant or severe damage to the property is discovered during the inspection, inventory clerk enters this information and photos of the damage in the report so that landlords could be well aware of the situation and take measures appropriately.

Like something depends on what stage of the rental relationship you are in. It's wise to seek our services before your tenants move in. But if that hasn't happened, that's okay. We are ready to give advice and settle all issues at any stage of your rental time.

Depending on the size of the home and the amount of property, on average our specialist can do it in 1-2 hours. During this time, we prepare a textual description of all of your property and take photos and video footage. Then we prepare a report within 48 hours.

This is practiced by many property owners. But, as practice shows, there is a high risk of missing something important. And yes, the court may not accept this document as proof since it is written by an interested party. The validity of the document is that which is drawn up by a neutral person.

In this case, you should take care to keep the trim, windows, doors, plumbing, and other mandatory items in the apartment.

If you do not agree with a particular item, you can let us know within seven days. We will review the item and will amend the report.

We are open from Monday to Friday from 09:00 to 18:00. On Saturdays we open from 10:00 to 17:00.
